It all starts with your idea. You submit a project request through Postal’s Paper Plane intake form, and that’s your first step toward gifting greatness. Whether you have a crystal-clear vision or just a vague idea of what you want, this form is the gateway to getting started. Don’t worry—we’ll help refine the details, sprinkle in creativity, and take your idea to new heights.

Think of this form as your ticket to first-class service (we’ll be your co-pilot for high-quality, creative swag ideas!).

Step 2: Project Manager Partnership

Cue the confetti! Once your request is in, one of our superstar Project Managers (PMs) will reach out to schedule a 30-minute Discovery Call. Think of this call as your meet-and-greet with the team that’s going to make your vision soar. We’ll introduce ourselves, learn all about your project goals, and get a feel for the vibe you’re going for.

Our PMs are like gifting matchmakers—they’re here to make sure your campaign has the perfect mix of style, creativity, and efficiency. It’s where the magic begins!

Step 3: The Discovery Call – Where the Spark of Creativity Ignites

The Discovery Call isn’t your average Zoom meeting—it’s where creative sparks fly! We’ll walk you through our famous Kickoff Deck (don’t worry, it’s not just your typical boring PowerPoint) to outline how we’ll collaborate with you and make sure your project is aligned with your brand, audience, and goals.

Our goal? To get the creative juices flowing and map out how we’ll take your campaign from concept to delivery. You can share ideas, goals, or even your wildest dreams for the campaign—our team is here to make it happen.

Step 4: Vendor Bids – The Hunt for the Perfect Products

Once we’ve got the lay of the land, your PM turns into a personal swag scout, sending out requests to our carefully curated vendor network. Within 1-3 days, we’ll collect bids from vendors that fit your project. These bids cover everything you need to know: from pricing to packaging, production timelines, and shipping costs.

We do all the hard work, sorting through proposals to find the best options for you. And don’t worry—our vendors are top-tier, and they’re as obsessed with quality as we are.

Step 5: Review the Options – It’s Like Shopping Without the Hassle

Once the vendor proposals are in, we present the best options to you in a proposal deck. This is the fun part—it's like a curated shopping experience, but without the endless scrolling and decision fatigue. You’ll get to review the options, request adjustments if needed, or tell us which ones make you say, “Yes, that’s the one!”

Whether it’s a custom water bottle, a cozy blanket, or something completely out-of-the-box, we’ll make sure your final choice is on-brand and guaranteed to make an impact.

Step 6: Finalizing the Quote – Easy, Breezy, Done!

After you’ve handpicked your favorite items, your PM will put together an all-inclusive quote. This quote includes everything: product costs, packaging, and shipping. No hidden fees, no surprises—just the total cost, neatly packaged and ready for approval.

We send this to you via DocuSign for a quick and easy e-signature, so we can keep the momentum going. You approve, and we’re ready to roll!

Step 7: Show Us the Money – Payment & Go-Time!

Once the quote is signed, we’ll confirm funds are available from your designated funding source or process payment via CC/ACH - it’s totally your choice! As soon as we have the green light, we place the order with the vendor, and your custom campaign officially takes off! Pro tip: the faster funds are in order, the faster the project is in your hands…

No more dealing with multiple invoices, delayed payments, or vendor confusion. We handle it all, so you can sit back and relax while the magic happens.

Step 8: Virtual Proofs – Because We Sweat the Small Stuff

Before anything goes into production, we send you virtual proofs of your branded items for review. This is where you get to see exactly how your logo, colors, and branding will look on each product. It’s the final “thumbs up” before we hit “go” on production.

This step ensures every detail is perfect, down to the last pixel. After all, you deserve nothing less than swag perfection!

Step 9: Production Time – Your Vision Comes to Life!

Once you approve the virtual proofs, production officially begins. This is where the magic happens behind the scenes. Our vendors get to work, and soon, your custom swag is on its way to becoming real, tangible, and ready to impress.

When production is complete, we’ll send you a finalized image of your products, so you can see the finished look before it goes live in Postal’s marketplace.

Step 10: Ready for Takeoff – Your Campaign is Live!

With production completed, your product is now live in Postal! You can start sending your gifts to clients, employees, prospects—whoever you want to surprise and delight. Whether it’s a one-off special gift or part of your swag for a larger event, your custom swag is now ready to be delivered from the Postal Warehouse, if the customer has signed up for the service, or the items can be stored with the vendor for an additional charge. All sends can be tracked via the Postal app and the logistics of shipping swag are off your plate.
